Issues:
Workshop program update
·         Beth is still awaiting a response from Steve Parker to organize meeting and discuss finer details of workshop program.
Structure of Workshop – timing
·         Workshop to be presented over 4 hours. Group discussed need to roughly plan workshop session timing prior to meeting with Steve so that general parameters can be outlined.
Marketing group
·         Marketing group will now be comprised of Cecilia, Louise, Bianca and Artemio.
Flyers
·         Decision to create double sided flier only – no poster.
·         Suggested details for flier + registration form provided to Bianca (who is doing design). These included:
o        Cut-off registration slip that did not remove important information on other side of flier;
o        Time: 4.30 registration for 5.00pm start. Completion at 9.00pm.
o        Blog address.
o        Dietary preferences.
o        Kathy Gelding to act as registration contact.
o        Tickets to be separate.

  • Limitation on numbers for workshop – details not to be provided on flier. Group target is 40. Maximum number ??
  • Further feedback to be provided to Bianca from group on the flier once drafts have been distributed.

Catering
·         Kathy to check with caterers at OTEN for menu options.
·         Target budget at this stage – $15 / head
·         70% Vegetarian target.
·         Other requested requirements:
o        Non-disposable cutlery / plates etc.
o        Check mix hot / cold food (ratio)
o        Drinks to be limited to juices, water, coffee and tea.
Contingency Plan
·         Gary distributed copy of ‘contingency plan’ he had produced as a planning tool for the group to use for the workshop.
·         Discussion held on the most likely component of failure – electronic equipment – but need to plan for a variety of contingencies.
Assessment of Group Work
·         Larraine asked group to revisit the third assessment task required for this subject, particularly the ‘Process’ component, where the group chooses a topic of relevance to ‘process’ and develop some assessable materials for it.
·         Discussion on format material – group still interested in producing an audio-file (Podcast) of interviews with each group member responding to different issues relating to the experience of working in a group to produce the workshop. Podcast to be made available via group Blog as well.
·         Theme of work discussed: ‘What went well? What constitutes a positive group experience’. Consider what went well and not so well in the process for you as a group member. Develop a set of questions to ask each of us in the group to reflect and respond to as part of the audio recording.
·         Minutes, reflections etc still to be added to Blog and will form part of overall assessment.

Circulate (email) a draft of the workshop flier and tickets for group review and feedback. Bianca

Deadline: Monday 16 October
Final artwork completed and circulated to group. Bianca.
Target: Tuesday 17 October.
Print off up to 100 double sided colour flyers and tickets. Distribute to group. Ian

Catering
Contact OTEN caterer and bring to group menu / catering options. Initial budget target – $15 / head. Kathy Gelding

Check with caterer about location of food delivery at OTEN and any other requirements that may influence delivery. Kathy Gelding

Contingency Plan
 
Check if OTEN site services will be available for assisting the workshop delivery – part of contingency planning (particularly equipment failure). Kathy.

Assessment Task for Group
 
Bring along some questions that could be used in the group audio recording. Questions to be themed around ‘What went well – What constitutes a positive group experience’; ‘What went well for you – what didn’t – and why?’ All.
